We are seeking a Part-Time Remote Patient Care Coordinator for our high-volume private practice psychiatry office. The ideal candidate will provide exceptional customer service and assist with the administrative operations of the practice. This role is remote, offering flexibility, and will require a commitment of approximately 20-25 hours per week. Candidates based in the Raleigh-Durham, Cary, Chapel Hill area are preferred, as the position may include occasional hybrid training or in-office visits in the future. Responsibilities:
- Answer multiple phone lines and respond to emails within a timely manner
- Communicate with current and prospective patients through email and phone
- Schedule patient visits and answer pre-visit questions
- Act as communication aid liaison between patients and healthcare providers by keeping the lines of communication flowing by properly taking messages and routing to the appropriate party within the practice
- Address and respond to patient requests and needs in a professional and timely manner to ensure patient satisfaction
- Ensure complete and accurate patient registration, which includes recording a patient’s health, demographic, and insurance information
- Manage patient accounts with contact information, insurance and financial information in a confidential manner
- Utilize electronic systems that include but are not limited to: EHR, fax, and multi-line phone system
- Work as a team player to ensure each patient receives the best service possible
- Assist in processing outgoing and incoming referrals
- Upload documents into patient charts
- Ensure compliance with professional standards while following practice guidelines, healthcare laws, and regulations
- Adheres to all HIPAA and confidentiality requirements
- Maintain professional demeanor and interface well with patients in a mental-health setting
- Assist with other administrative tasks as needed by your manager
Qualifications:
- Minimum high school diploma or equivalent
- Experience working front desk in medical office, administrative roles and/or customer service roles
- Medical office knowledge and/or experience
- Mental health knowledge and/or experience is highly preferred
- Insurance knowledge and/or experience is highly preferred
- Highly organized with a strong ability to manage different priorities while bringing tasks to completion
- Ability to work with others and use resources to problem solve
- Apply good judgement to fast-changing situations
- Strong customer service skills and exceptional phone presence are a must
- Effective verbal and written communication skills
- Effective collaborator and works well with a team of other caretakers
- Strong computer and data entry skills required
